The Data Cleanup Wizard Screen detects possible errors within data for participants by identifying instances of missing or incorrect data.
Click the OK button and the system will check the data for the errors you selected. The resulting errors will appear in the Output window (see screen shot below). You can adjust the view so the output window is bigger and the errors are easier to view. You may also wish to do a screen print of the output. Note that you can click on any of the error rows to open the person in question. Review the errors before rerunning the wizard with “process recommended tasks” checked.
- Plan Number: select from the drop down if the plan sponsor has more than one Plan Document.
- Process recommended tasks: If this box is checked, the system will actually make the suggested changes to the data based on the problems it finds. If this box is not checked, the system will just display a list of the errors. The suggested approach is to first run the wizard without this box checked; then you can review the errors and if you agree with the proposed changes, re-run the wizard with the desired checks and with this box checked.
Note that if you select "process recommended tasks", the system will delete any extra spaces from name.
- Check for leading and trailing spaces in person names: check this box to have the system check for extra spaces in people's names. Extra spaces can cause errors when sorting by name.

Check Reported Amounts with a value of zero for:
check this box if you want to check for reported amounts with a value of zero. Select which reported amount you want to check. Note that you can only do this check for one reported amount at a time. The validations you ran identified missing reported amounts; if your import file contained a zero, the zero would have been imported and the amount would not have been flagged as missing. You should check for zero earnings amounts.
- Remember that a zero is a valid entry and it will override any prior amount. A blank will not change last year’s amount that is currently in DBP. Be careful not to enter a "0" on your import file when you may want a blank
Note that if you select "process recommended tasks", the system will delete any Reported Amounts with a value of 0.

Check Terminated Vested Participants for missing benefits and calculation amounts:
check this box to have the system search for people that appear to be terminated vested but have no benefit stored. For such participants, the system will calculate the benefit amount payable at Normal Retirement Date. Note that this will only work if the system is coded to calculate benefits and has all the necessary data for the participants in question.
Note that if you select "process recommended tasks", the system will add the benefit payment to the participants’ data. If you do not select "process recommended tasks", the system will just display the calculated amount and the NRD.

Search individuals receiving payment for extra deferred benefit:
check this box to have the system check for individuals that are currently receiving a benefit (retired/beneficiary/ cash-out), but have a deferred benefit stored as well. This often happens to individuals who move from terminated vested status to retired/lump sum. While DB Precision will calculate status correctly and exports the correct benefit for the valuation extract file even if both benefits remain in the data, it is preferable to delete the deferred benefit. The data should contain the current benefit(s) the participant is entitled to; the deleted benefits can still be viewed on prior valuation extracts and in the transaction log.
Note that if you select "process recommended tasks", the system will delete the deferred benefit. If you do not select "process recommended tasks", the system will just display an error message for the participant.

Search individuals in payment status for duplicate benefits:
check this box to search for duplicate benefits for a person. For example, this error would occur if a participant has two benefit payments of the same amount and payment form with different benefit commencement dates. Essentially, it is looking for instances when two benefits were created in error and only one of the benefits are valid.
Note that if you select "process recommended tasks", the system will delete the deferred benefit. If you do not select "process recommended tasks", the system will just display an error message for the participant.

Search for inconsistencies in benefit form, payment amounts and contingent fractions:
check this box to have the system check for inconsistencies between the contingent fractions and contingent benefits for a person. For example, if the benefit form is a 50% joint and survivor, the benefit payable while the beneficiary only is alive should be 50% of the initial benefit. If it is not, this error would be triggered.
Note that if you select "process recommended tasks", the system will correct the benefit amounts based on the contingent fraction (set the beneficiary’s benefit to 50% of the initial benefit in the example above). If you do not select "process recommended tasks", the system will just display an error message for the participant, including the suggested benefit amount.

Check for benefits invalid based upon payment frequency:
check this box to have the system check for benefit amounts that are inconsistent with the payment frequency. For example, if the benefit payment is identified as monthly, the annual amount should be divisible by 12.
Note that if you select "process recommended tasks", the system will correct the benefit amounts so they are rounded correctly. If you do not select "process recommended tasks", the system will just display an error message for the participant including the suggested benefit amount.
- Change benefits with unknown Benefit Payment Sets to: check this box to change anyone that has a blank payment set from blank to the payment set you identify. (Usually "benefitsRet"). Note: this box will remain grayed out unless the "process recommended tasks" box is checked.

Check for future benefits where payment is not indicated as deferred:
check this box to have the system check for payments with annuity commencement date in the future but the "deferred annuity" box is not checked. Individuals in this situation will still come out as terminated vested but will automatically switch to retirees when his/her annuity commencement date passes.
Note that if you select "process recommended tasks", the system will check the “deferred annuity” box. If you do not select "process recommended tasks", the system will just display an error message for the participant.

Check for people paid a lump sum benefit that still have deferred benefit:
This option will alert you to anybody that has been paid a lump sum and still has a deferred benefit stored. Individuals in this situation may come out as terminated vested, not lump sum cash-outs.
Note that if you select "process recommended tasks", the system will delete the deferred benefit. If you do not select "process recommended tasks", the system will just display an error message for the participant.

Check for historical dates prior to hire date:
This option will alert you to anybody that has a historical date prior to hire date. While some plans may allow for service start dates to occur before hire date, this is not often the case.
Note that if you select "process recommended tasks", the system will change the effective date of the historical date to match hire date. The only exception to this is if a historical date within the same date classification as the historical date in question already occurs on the same date as hire date. If this is the case, the historical date in question will be deleted, as two dates within the same Date Classification can not exist at the same time. For example, if you have a Credited Service Override (Start of Accruals) that occurs on the day before date of hire, and a Credited Service Override (Stop of Accruals) that occurs on the same date as date of hire, it will be deleted. If you do not select "process recommended tasks", the system will simply display a message for each participant, which can be clicked on to open the participant.

Consolidate multiple participant name history rows into a single row:
This option will alert you to anybody that has mutiple rows of name history.
Note that if you select "process recommended tasks", the system will consolidate all names into a single name with an effective date equal to the earliest name but using the most recent name information.
